How to Manage a Staff Member's Fund Access Permissions

This topic shows you how to manage a staff user's fund access permissions. Permission is granted on a per-user basis. If you want to give a staff user permission to access a specific fund only, we recommend using the procedure documented in this topic: How to Manage Access Permissions by Fund.

To view the Funds page, you must have Organization Admin permissions tied to your login credentials. If you do not have Organization Admin permissions, the Funds option in the navigation bar is not visible.

The organization administrator is the principal owner of all funds and, as such, has fund permissions and rights of access to all of the organization's funds, which are listed on the Funds page. By extension, the organization administrator can grant or deny staff users' access to a fund. If permission to a fund is granted, the staff user can see the fund in all Fund dropdown lists throughout the application and view data in batches, pledges, reports, and contributions associated with the fund.

Fund-related tasks are limited to staff members who have specific types of access. Such restrictions ensure the security and protect the confidentiality of fund data. Granting access rights to a staff member should be based on two factors: 1) whether the staff member has a legitimate need for the type of access and 2) whether the staff member has the necessary knowledge and skill to use the access rights without causing harm to the system.

  1. Open the Funds page.
  2. In the upper-right corner of the toolbar, click this button: .

The Manage Permissions by Member window opens. The names of staff in your organization are listed in the Members group. Your organization's funds are listed in the Funds group.

  1. Select the staff member whose fund access permissions you want to manage.

In the Funds group, the checkboxes next to the funds the selected staff member currently has permission to access are selected.

  1. Do the following:
    • To grant access permissions to other funds, select their checkboxes. Alternatively, to grant access to all funds in the list, click . A checkmark appears next to each selected fund to let you know that the staff member will be granted permission to access to the fund.
    • To remove access permissions from a fund, select its checkbox. The checkmark is removed to let you know that the staff member's access permissions will be removed.
  2. Scroll down to the bottom of the window and click  to save the changes.
  3. Repeat Steps 3 - 6 for each staff member whose access permissions you want to manage.
