How to Post a Contribution to a Fund

If your organization does not require batches, you can post contributions directly to a fund. Here's how: 

 The donor whose contribution you are posting must have a record in ParishSOFT Family Directory. In addition, the fund receiving a contribution must be in your organization's chart of accounts.

  Keyboard shortcuts are available to save you time when posting contributions. For details, go to Data Entry Tips to Speed Your Workflow.

  1. Open the Contributions page.
  2. In the upper-right, click  (Add New Contributions).

The Contribution Add page opens to show you an empty contribution form. For descriptions of the fields in the contribution record, go to Contribution Record Details.

  1. You may want define your own default settings to be applied when you add contributions. Note that these settings remain in effect until you change them. To set your defaults, open the sidebar and select settings for the following: 

     If the sidebar is not visible, click this button to open it: .
    • Lookup Type: the method you want to use to find donors and associate them to contributions (for example, by envelope number or Family ID). 
    • Recently Added Contributions: lets you quickly generate a list of contributions made during the selected period. For example, if you typically want to see the contributions added in the past week when you open the form, select the Past week option. However, if you want to find a contribution you entered some time this week, you can quickly change the option to Past 24 hours to see those contributions.
    • Show Memo: includes the Memo field in the Contribution Add form, so if you want to add a note to the contribution record, you can enter it in this field.
    • Show Check Number: displays the Ck# (check number) field in the Contribution Add form, so if the donor pays by check, you can enter the check number in the field.
  2. To add a contribution, complete the following:
    1. In the ID field, enter the value of the lookup type you use to identify donors (for example, envelope number or Family ID).
    2. In the Amount field, enter the amount of the contribution.
    3. (optional) In the Ck# field, enter the check number. (This field is displayed if you selected Show Check Number as a default selection in Step 4).
    4. (optional) In the Memo field, enter details pertaining to the contribution. (This field is displayed if you selected Show Memo as a default selection in Step 4).
    5. In the Fund dropdown list, select the fund receiving the contribution.
    6. If the contribution is tax deductible, select the Tax Deductible? checkbox.
    7. Click inside the Contribution Type field and select the payment method used to fund the contribution (for example, Check).
    8. Specify the date the contribution was received either by typing a date into the Contribution Date field or by clicking  and selecting a date from the calendar.
  3. Click  to save the contribution.

The contribution is posted to the selected fund. It appears in the list on the Contributions page.
